The Visitor Experience Mediator joins a dedicated team embodying PHI's values through diverse responsibilities. The role involves providing quality customer service, welcoming the public, and ensuring gallery supervision and mediation. The mediator fosters a meaningful connection between visitors and curatorial content, ensuring an accessible, enjoyable, and safe experience for all during public hours.
About the position
During periods closed to the general public (e.g., group visits), the mediator assists educators by supporting the safety of the artworks and participants, preparing the spaces, organizing materials, and assisting during creative workshops. The role may also include reception duties to maintain access to
spaces.
The position requires schedule flexibility and the ability to work under varying conditions, such as low-light environments, loud soundscapes, and managing unforeseen public issues.
Main responsibilities
Gallery Coordination and Mediation (95% of the role)
During public opening hours:
- Welcome, inform, and respond to questions from visitors and educational groups;
- Attend various training sessions (curatorial, technical, educational, coordination, building, events, etc.);
- Engage in conversations and answer visitor questions about the artworks, exhibition, curatorial approach, and artist's practice;
- Open and close exhibitions if necessary;
- Ensure the safety of spaces and maintain cleanliness and functionality of presentations during public hours;
- Ensure the security of the artworks and carry out surveillance, when necessary;
- Report any issues or incidents to the relevant staff;
- Act proactively and responsively in emergency situations;
- Ensure the sales of publications;
- Manage queues and guide visitors through their journey;
- Troubleshoot basic technical issues with the artworks as needed.
Educational Shifts – Group Support (5% of the role)
Outside public opening hours – occasionally:
- Provide support and assistance to educators during group visits;
- Ensure the safety of artworks and provide supervision if necessary;
- Organize and manage materials in the gallery while assisting during creative workshops;
- Occupy a position at the reception desk to ensure access to the entrance doors at all times and supervise the trajectory of groups;
- Close artworks and exhibitions as required.
Box Office
During public opening hours:
Note: The distribution of hours for this task is variable. This position is not held exclusively by one person, and anyone interested must go through a selection process.
- Sell tickets on-site; operate the ticketing sales system, respond to phone calls and emails.
- Reconcile daily sales;
- Stay updated on promotions and offers, and inform visitors during purchase;
- Manage opening and closing of the reception desk;
- Collect and forward visitor feedback and complaints;
- Oversee equipment logistics (setup, maintenance, charging cycles, ensuring functionality, storage);
- Perform any other related tasks as required.
Requirements
- College diploma or bachelor's degree in visual arts, art history, arts administration, or a related field and/or experience in a similar position within a museum, art gallery, or artist center, or interest based on related experiences;
- Other combinations of education and relevant experience could be considered;
- Experience in a similar role or a strong interest based on related experience;
- Excellent interpersonal and communication skills;
- Proactive and efficient work management;
- Ability to work well within a structured team;
- Strong capacity to work under pressure and manage stress;
- Flexible schedule; minimum availability of 2 fixed days per week, including mornings, evenings, and weekends;
- Strong proficiency in both written and spoken French and English for customer interaction.
- Courteous demeanor at all times;
- Organized, punctual, energetic, and cheerful personality;
- Well-groomed appearance and good physical stamina (due to long working hours);
- Proficiency with office tools (Gmail, Google Suite);
- Availability for mediation training (dates to be determined);
- Ability to work in unconventional environments, including low light conditions, loud sounds, or specific sensory elements.
