Under the supervision of the Associate Producer, the Production Coordinator is responsible for planning, overseeing, and managing specific ad hoc projects at PHI Studio. They plan, coordinate, supervise, and manage various stages of production while ensuring smooth communication between all stakeholders. The Production Coordinator serves as the key point of contact across teams. They are highly familiar with every aspect of the productions assigned to them and demonstrate exceptional attention to detail.

About PHI Studio
PHI Studio specializes in the production and development of original content, as well as the marketing and distribution of immersive experiences. We focus on large-scale, renowned art-entertainment projects, and XR (extended reality) experiences for location-based entertainment (LBE) venues. Each project is designed to have a global reach, with the aim of traveling internationally and captivating diverse audiences around the world. A catalyst for innovation, PHI Studio brings together artists, designers, directors, and producers in daring collaborations with leading talents, constantly pushing the boundaries of art and technology.
PHI Studio is in keeping with the mission and values of PHI, which, for nearly 20 years, has offered a rich program of exhibitions and events in the heart of Old Montréal.
Main responsibilities
- Define project milestones and timelines;
- Ensure that project stages are completed in the correct order and on time;
- Organize necessary project meetings, invite relevant participants as needed, set agendas, and prepare meeting minutes;
- Assist in developing project workflows and updating project budgets;
- Monitor progress with teams and suppliers to ensure compliance with budgets, deadlines, and project parameters;
- Identify, research, contact, and follow up with suppliers and oversee their mandates;
- Act as the liaison between various teams and stakeholders to ensure smooth information flow;
- Identify project needs and necessary resources;
- Process and codify all project-related invoices;
- Establish production schedules and ensure compliance;
- Organize travel arrangements for install and teardown teams;
- Manage corporate credit cards.
Requirements
- Bachelor's degree in a relevant field;
- At least 3-5 years experience;
- Excellent level of French and English, both written and spoken, for international collaborations;
- Strong project management skills;
- Detail-oriented and conscientious;
- Exceptional interpersonal skills;
- Agile, organized, and able to manage requests with flexibility;
- Demonstrates autonomy and sound judgment;
- Sharp sense of priorities and ability to multitask effectively;
- Team-oriented with a collaborative approach;
- Ability to work under pressure;
- Proficient in Excel;
- Familiarity with ASANA, Slack, and Google Suite (an asset).
