Reporting to the Director of Operations, the Assistant to the Director of Operations is responsible for overseeing and harmonizing daily operations across multiple PHI Studio sites (3 to 6 locations). This key role ensures that each site delivers a high-quality immersive experience, meeting the highest standards of visitor experience, while ensuring all operations adhere to standardized procedures (SOPs), performance indicators (KPIs), and established quality standards. This position requires a dynamic leader with excellent data-driven decision-making skills, proactive problem-solving abilities, and strong people management expertise.
About the position
Main responsibilities
Analyze operational data and performance indicators to propose improvements and maintain our high standards;
Ensure each site submits detailed daily operational reports;
Conduct site visits and virtual check-ins to verify compliance with SOPs, safety standards, visitor service protocols, and maintenance standards;
Compile and analyze on-site audit reports, identify trends or recurring issues, and propose corrective actions;
Review incident reports and escalation logs, ensuring prompt resolution of operational or technical issues;
Act as a liaison between the Director of Operations and on-site Supervisors, ensuring smooth communication and consistent implementation of operational policies;
Organize and lead daily and weekly coordination meetings with site Supervisors to discuss priorities, share best practices, and resolve operational challenges;
Collaborate with HR and payroll departments to align administrative processes for recruitment, employee onboarding, and ongoing training efforts across all sites;
Prepare a weekly regional report consolidating data from all sites (visitor numbers, revenue, technical incidents, staffing levels, employee and visitor satisfaction);
Analyze and identify operational bottlenecks and optimize processes;
Assist in updating and distributing training materials, emergency procedures, and performance tracking tools;
Promote a culture of continuous improvement and employee engagement through team-building initiatives, recognition programs, and an open communication policy;
Monitor employee feedback and ensure operational changes are well-communicated and implemented;
Work with the Director of Operations to allocate resources (e.g., additional staff, technical support) based on operational needs;
Develop and implement contingency plans for high-traffic periods, technical outages, or staffing shortages;
Ensure all sites have up-to-date emergency procedures and that staff are trained in safety, evacuation, and incident management protocols;
Manage and track service payments to ensure reliable and secure operational support at all times.
Requirements
College diploma (DEC) in a relevant field;
Minimum of 3 years of experience in operations management;
Proven experience in operations management with a focus on data analysis, process automation, and performance improvement;
Demonstrated experience in human resource management and team leadership, with the ability to mobilize diverse teams;
Excellent interpersonal and communication skills, fostering a collaborative work environment;
Strong analytical skills and reporting abilities;
Proficiency with Google Suite, Microsoft Office, and modern operational and project management tools;
Bilingual in spoken and written communication, for collaborations with the rest of Canada and internationally;
Comfort with technology and experience in immersive experiences, VR environments, or related fields (an asset);
Ability to manage multiple tasks simultaneously and adapt to a dynamic operational environment;
Availability to work evenings, weekends, and travel between different sites;
First aid certification is an asset.
Working conditions and schedules
Full-time position with a flexible schedule;
Weekend availability and travel between assigned sites required;
Based in Montreal, with responsibilities across multiple sites in Canada and internationally;
Mobility required for travel within Canada and internationally.
